You collected hundreds of customer email IDs over the years, in a register, a billing app or a Google Form. You sent one offer to all of them from your Gmail account, and half the replies said it went to spam. Now you are not sure if email is worth the trouble at all.
It can be, if you do the boring parts first. Email marketing for small business is less about clever subject lines. It rests on three things: real permission, a properly set up sending domain, and a few emails that send themselves.

Yes, if you treat your list as something you own and look after. A list of people who asked to hear from you stays with you, even if you change apps or a social account gets blocked. It goes wrong when owners buy lists, send rarely, or blast every contact they have ever collected.
Where email fits next to WhatsApp and social posts
WhatsApp is good for quick, one-to-one chats. Social posts are good for being seen by new people. Email is better for things a customer may want to read later or search for, such as a price list, an order receipt, a new menu or a seasonal catalogue.

How do you build an email list with real consent?
Ask clearly, record the yes, and make leaving easy. India's Digital Personal Data Protection Act, 2023 says consent must be "free, specific, informed, unconditional and unambiguous with a clear affirmative action". In simple terms, the person must actively tick or type something, for a purpose you have named.
The same Act says a person can withdraw consent "at any time, with the ease of doing so being comparable to the ease with which such consent was given". If joining took one click, leaving should too.
What the DPDP Rules add, and when
The DPDP Rules, 2025 were published in the Gazette on 13 November 2025. The rule on what a consent notice must contain (Rule 3) applies from eighteen months after that date, which works out to May 2027. It asks for a notice in clear and plain language that lists the data you collect and the purpose.
You do not have to wait until 2027 to work this way. Building the list correctly now means you will not need to throw half of it away later.
Steps to collect consent the right way
- Add a separate email sign-up box on your website, bill desk or enquiry form. Do not hide it inside your terms.
- Leave the "send me offers by email" box unticked by default, so the customer has to tick it.
- Say in one line what you will send and how often, for example "new stock and festival offers, about twice a month".
- Save the date, the source (website, shop counter, event) and the exact wording the person agreed to.
- Never buy or borrow a list. People who never asked to hear from you are the fastest way to spam complaints.
What do Gmail and Yahoo require from email senders?
Both ask every sender to prove the email really comes from their domain and to keep spam complaints low. Larger senders must also add DMARC and one-click unsubscribe. If you skip these, your email marketing can land in spam or be blocked, however good the offer is.
The three settings, in plain words
SPF (Sender Policy Framework) is a line in your domain settings that lists which services may send email for you. DKIM (DomainKeys Identified Mail) adds a hidden digital signature that proves the email was not changed on the way. DMARC tells Gmail and Yahoo what to do with an email that fails those checks.
Your web developer or email tool can add all three in your domain's settings in under an hour of work. Ask them for a screenshot of the records once they are added.

Two details catch owners out. Google counts all mail from the same main domain together, so your billing emails and offers add up. Once Google classes you as a bulk sender, its FAQ says that status is permanent.

Start with emails that are useful to the customer and send themselves. A welcome email, an enquiry follow-up and order or booking confirmations cover most needs. Email automation means you write the email once, set the trigger, and the tool sends it every time that thing happens.
1. The welcome email
This goes out right after someone joins your list. Thank them, repeat what you will send and how often, and give one useful thing, such as your price list or a festival order form. Keep the unsubscribe link visible from the very first email.

Which numbers should you watch?
Watch clicks, replies, enquiries and spam complaints, not opens. Apple's Mail Privacy Protection "prevents senders from seeing if you've opened the email message they sent you". So many opens you see are not real opens, and many real ones are hidden.
A simple monthly check
- Count how many people clicked a link and how many replied or called.
- Count new sign-ups and unsubscribes. More leaving than joining means you send too often or send things people did not ask for.
- If you send a lot to Gmail users, set up Google Postmaster Tools, which is where Gmail shows your spam rate.
- Remove addresses that bounce, so you stop paying to email addresses that do not exist.
