Website Monitoring: How to Know Your Site Is Down First

Website monitoring for business owners: how to get an alert the minute your site goes down, which free tools to use, and when you need Grafana at all.

Most business owners find out their website is down from a customer. Someone calls to ask why the site shows an error, or a week of enquiries quietly stops. By then you have lost the visitors you paid for, including clicks from your ads.

Website monitoring is a simple fix for this. A service checks your site every few minutes and sends you an alert when it stops answering. This guide covers what to watch, the free tools that do it, what Grafana is, and what to ask your developer to set up.

Quick answer

An uptime monitor visits your site on a schedule and alerts you by email or phone when it fails.
Free plans exist. UptimeRobot's free plan checks up to 50 addresses every 5 minutes, as of October 2026.
Watch more than the home page: your enquiry form page, your SSL certificate and your domain expiry date.
Grafana is a dashboard tool for servers and custom software. A small business website rarely needs it.
Send alerts to two people, so one missed email does not mean a missed outage.

What is website monitoring?

Website monitoring means a service outside your website checks it on a schedule and tells you when something is wrong. The simplest kind only asks one question: does the page load? Better setups also watch the security certificate, the domain renewal date and how slow the server is.

The check has to run from outside your hosting. If the server is down, it cannot send an alert about itself.

Why small business sites go down

Downtime does not need a hacker. Ordinary things can take a site offline: an unpaid hosting plan, an expired domain, or an expired SSL certificate (the file that gives your site the padlock and "https").

The hosting company's server can also have a bad hour, or a plugin update can break a page. A monitor will not stop any of these, but it shortens the time before someone notices.

How does uptime monitoring work?

An uptime monitor sends a request to your web address at a fixed interval, such as every 5 minutes, from its own servers. If your site does not answer, or answers with an error, the monitor marks it as down and alerts you. Many tools also send a second message when the site comes back.

Some tools check from several locations. Grafana Cloud's Synthetic Monitoring, for example, runs checks from probe locations around the world. That matters if your customers are in India and the US, because a site can fail in one region and work in another.

What each type of check catches

Each check watches a different risk, so most sites need more than one.

CheckWhat it catchesWho needs it
Uptime (HTTP) checkThe page does not load or returns an errorEvery business website
SSL certificate checkThe padlock certificate is about to expire or is brokenEvery website on https
Domain expiry checkYour domain renewal date is closeEvery business that owns a domain

Website down checker: is it down for everyone or just you?

Before you panic, check whether the site is down for everyone. Open it on your phone using mobile data instead of office Wi-Fi, and ask someone in another city to try. Free "is it down" checker websites test your address from their own servers.

If it works on mobile data but not on your office network, the problem may be your internet connection, not the website. If it fails everywhere, call your developer or hosting company.

Which free website monitoring tools can you use?

For a normal business website, a free uptime service is enough to start. UptimeRobot and Grafana Cloud both have free plans with no credit card needed, as of October 2026. Read each plan's limits and terms before you rely on it.

UptimeRobot

UptimeRobot's pricing page lists a free plan with 50 monitors, a 5-minute check interval, and email alerts. It also lists SSL certificate and domain expiry alerts at 30, 14 and 7 days before they run out.

One thing to note: the same page describes the free plan as "good for hobby and non-profit projects". A business should read the terms and expect to move to a paid plan.

Grafana Cloud

Grafana Cloud is the hosted version of Grafana run by Grafana Labs, and it has a free tier. As of October 2026, the free tier allows 100,000 API test runs and 10,000 browser test runs a month, with 14 days of data kept.

It is more powerful, and it takes more setup. Most owners would ask a developer to configure it.

What is Grafana, and do you need it?

Grafana is open source software for viewing and alerting on data about your systems: graphs of server load, error counts and response times. It is often paired with Prometheus, an open source tool that collects and stores those numbers. Together they show what is happening inside a server or an app, beyond whether the home page loads.

When Grafana makes sense

If you run an online shop, a booking system, a customer portal or custom software, problems often start inside. The site may load, but orders fail, the database is slow, or the server disk is filling up. That is where a Grafana dashboard earns its setup time.

If your site is a few pages with an enquiry form, a simple uptime monitor covers the main risk. Ask your developer before paying anyone to build dashboards you will never open.

How to set up basic website monitoring in one afternoon

You can set up a basic uptime monitor yourself. The steps below work in most free tools, though the button names change from one tool to another.

  1. Sign up for an uptime monitoring tool using a company email address, not a personal one.
  2. Add an HTTP monitor for your home page, using the full address that shows in your browser bar.
  3. Add a second monitor for the page your customers use most, such as your enquiry form or product page.
  4. Turn on SSL certificate and domain expiry alerts if the plan includes them.
  5. Add two alert contacts: you and one other person who is not your developer.
  6. Note the monitor's status page or report, and look at it once a month to see how often the site went down.

A buyer's tip about alerts

Check that the alert email does not land in spam. Add the tool's sending address to your contacts on the day you set it up, because you will not see a hidden alert during an outage.

Also ask your developer to put the hosting and domain renewals on auto-renew, billed to a company card. A monitor tells you the site is down, but only a paid renewal keeps it up.

What to do when an alert arrives

  1. Open the site yourself on mobile data to confirm it is really down.
  2. Check your email for renewal or payment notices from your hosting or domain company.
  3. Call your developer or hosting support, and share the time the alert came in.
  4. Once the site is back, ask what caused it and what will stop it happening again.

Keep the hosting, domain and developer phone numbers in one place your staff can find. During an outage, nobody wants to search old emails for a login.

Closing note

You do not need a big monitoring setup to stop finding out from customers. Start with one free uptime check, one SSL and domain alert, and two people who get the message.

Frequently Asked Questions

What is website monitoring?

It is a service that checks your website from outside on a fixed schedule and alerts you when it stops loading or returns an error. Better setups also warn you before your SSL certificate or domain expires.

What is website uptime monitoring?

Uptime monitoring checks whether your site is reachable, for example every 5 minutes, and sends an email or phone alert when it goes down. The share of time it was up is called uptime.

Are there free website monitoring tools?

Yes. UptimeRobot and Grafana Cloud both list free plans with no credit card needed, as of October 2026. UptimeRobot describes its free plan as meant for hobby and non-profit projects, so a business should check the terms.

How does website monitoring work?

A monitoring service sends a request to your web address from its own servers at a set interval. If the page fails to answer or returns an error, it marks the site as down and alerts the contacts you added.
